Managing WebMail

The WebMail container in your website root is the recipient of all inbound messages sent to you from visitors to your site - Form Messages as well as visitor commenting streams. Make sure you have access to it!
 
For security purposes, it is initially configured so that nobody can read it. The FirstClass Administrator will open it for your account. You should verify that it´s permissions are set correctly:
  • Your name is "Controller"
  • Web Users have "Open Conference" + "Send Items"
  • All Users are "Disallowed"
Forms are delivered into WebMail unapproved. Chats/comments from the FirstMagic Commenting Widget are immediately public, however - otherwise, a chat would be pointless.

Unapproved means the message cannot be read without logging in. It is the same principle as when you unpublish a webpage. Forms are unapproved because the WebMail container itself is public [it has to be for visitors to be able to post to it]. Meaning: it is not secure.

Form Messages
Inbound forms becomes unapproved by way of a FirstClass Rule as soon as they arrive. Do not turn off this rule, or the contents will be open to the world. You can create more rules to strenghten security - here´s an example:

1: In WebMail, create a New Conference, and set it´s permissions form to:
  • Yourself = Controller
  • All Users = Disallowed

2: In WebMail, open the Rules container from the Collaborate -> Rules menu,
    and click New Application Rule

3: Make the following Rule:
  • When: Item Modified
  • Conditions: If [ The object type ]  [ is a ] [ Document ]
  • Actions: [ Move to folder ] [ Name of the conference you created in Step 1 ]

.. This will automatically move incoming messages into a container that is locked for everybody but yourself. To make monitoring it easy, you can put an alias of it on your desktop.
Note: if you anticipate inbound posts that may be sensitive or personal in nature, do not use FirstMagic forms without thoroughly testing your security first. FirstMagic Forms are not intended for, and neither does it guarantee, secure communications: it is merely a simple, very public messaging feature. Use it with care.

You turn off FirstMagic forms simply by unpublishing them.

Comments are automatically generated FirstClass Documents, saved into sub-folders named for the Widget that created them.

To moderate a comment, simply open WebMail -> it´s Widget container, and locate it in the list. You can moderate it, delete it or unapprove it. You can also change the sort order for the entire stream by editing it´s folders View Properties form [Menu -> View -> Change View Properties].
